The only way that a computer system will help your business is by making it fit your business. Despite what salesmen tell you about you fitting their software.

The way to do this is to start with a User Requirements Specification - a document that tells you what you need the system to do and how it needs to perform with the user.

You test it with dummy interfaces to get the design right. You test functions with users. You find out how people will use it and what they want from it.  And then you write the technical spec.
